Administration Assistant - Wealth Management

 

An exciting opportunity has arisen for an Administration / Secretarial Assistant to join our busy Wealth Management team in Chester le Street on a full time basis (Monday to Friday – 37.5 hours per week). 

Due to the nature of the work and client service level agreements in place the need for overtime may arise.  The successful candidate should therefore be flexible in their approach to work.

The successful candidate will be responsible for the drafting of wills, lasting powers of attorney, oaths, estate accounts, invoices and Land Registry forms.  In addition you will be responsible for arranging appointments, conducting bankruptcy searches, obtaining office copy entries via the Land Registry and for keeping up to date records.

The successful candidate will be responsible for ensuring key dates are recorded in line with Lexcel requirements, ensure the fee earners have the relevant files to hand and ensure that fee earner diaries are kept up to date with scheduled appointments and tasks. 

You will be responsible for taking initial instructions from the client in the absence of a fee earner, ensuring that clients are fully aware of our client care code of conduct.

Previous experience of a case management system is desirable, however, full training will be given. 

The successful candidate will have the ability to deal with clients courteously and expeditiously, promoting a favourable image of the firm.   The successful candidate will have the ability to work effectively as a team and be able to communicate professionally at all levels across the firm. 

You will be responsible for opening and closing files, ensuring the firms Will bank is kept up to date and keeping up to date records on the firm’s electronic systems.  

You will be required to ensure that you are fully aware of all legislative changes, practices and procedures relevant to your duties and for the provision of regular updates to your colleagues.  You will also be responsible for your continuous training and development in line with any professional requirements.
